Affortable Printing For Small Business
by Benjamin Dego

Advertising and promotion are a large part of managing a
small business and, of course, budget is always a
consideration. There are three main ways of producing the
promotional literature for a business: using a printing or
graphics house, using an office copy shop, or doing the
project in-house with a desktop printer. The most cost
effective means for a small business to print copies is
to use a copy shop or a desktop printer.

However, some promotional literature still needs to be
professionally done to make the best impression. Trade
publications such as catalogs and brochures look best on
glossy paper and need the expertise of a graphics house.
But simple handouts or promotional sales material don't
need the same level of quality and these can be produced
in-house.

Some of the high-end publishing programs that available for
the personal computer may require more memory than is
available on the computer. Or these programs require a
printer with sophisticated features. Check the system and
printer requirements before you buy a publishing package.

A suitable printing program for small business computers
is Microsoft Office Publisher. One of the advantages of
Publisher is that it offers templates for producing common
types of printed materials. Another advantage is that these
templates are custom-fit to Avery printing products such as
gummed labels. This combination makes Publisher quite easy
to use for everyday operations. Publisher is compatible
with most desktop printers.

Most desktop printers are called ink jet. These printers
interpret the image to be printed as a series of dots to be
printed. Better printers produce more dots per inch (dpi)
which gives a better quality copy. However, ink jet
printers will be slower than a laser printer because the ink
must dry before the printer moves on or the copy will
smear. Ink jet printers require the right kind of paper
that will absorb the ink properly.

Beyond using ink jet compatible paper for literature on a
desktop printer, a professional piece of literature needs to
be on glossy paper. Any promotional piece like a brochure
needs to be on heavier stock but not necessarily glossy.
Desktop printers are designed to print ordinary paper
copies so check the printer with a variety of papers
before investing in heavier stock papers.

It is easy to find a course on desktop publishing at your
local business school or community college. While you
may have the skills in-house to create a wonderful piece
of promotional literature, you may find that your desktop
printer may not be up to the job. If you factor in all the
costs, including labor, it may be cost-effective to have
the copies made at a copy shop like Kinko's, especially for
bulk quantities.

Another alternative is to use the desktop publishing package
to create the brochure or catalog in-house and bring the
literature to a commercial graphics house for printing.
These printing houses are now able to convert desktop
publishing files to run on commercial printing presses.
This is another way to save money on promotional literature.

There are a number of cost-effective ways to produce great
promotional literature using modern technology.
